Job Summary: The Studio Coordinator is responsible for managing the day-to-day operations of the fashion studio, providing administrative and logistical support to the design, production, and potentially marketing teams, and maintaining a well-organized and inspiring workspace. This role requires excellent communication skills, a proactive approach, a passion for fashion, and the ability to multitask effectively in a fast-paced, deadline-driven environment. Responsibilities: Studio Management: Maintain a clean, organized, and inspiring studio environment, reflecting the brand’s aesthetic. Manage fabric swatches, trims, and other design materials, ensuring proper organization and accessibility. Coordinate with vendors for fabric sourcing, sample production, and other necessary supplies. Manage and track sample inventory, including incoming and outgoing samples for photoshoots, press, and sales. Handle incoming and outgoing mail, packages, and deliveries, including international shipments. Administrative Support: Provide administrative support to designers, pattern makers, and other studio staff, including scheduling meetings, managing calendars, and making travel arrangements (e.g., for fabric sourcing trips or fashion shows). Prepare presentations, line sheets, and other design-related documents. Manage and organize digital and physical files, including design archives and technical packs. Answer phone calls and greet visitors, including models, stylists, and other industry professionals. Production Coordination: Assist with the coordination of sample production, including tracking deadlines and communicating with factories or workshops. Maintain accurate records of production costs and timelines. Assist with quality control of samples. Fashion-Specific Tasks: Organize and maintain a well-stocked sewing/workroom area. Assist with fittings, ensuring all necessary materials and tools are available. Research and source new fabrics, trims, and other materials. Assist with preparing for photoshoots, fashion shows, and other events. Other duties as assigned: This may include running errands, managing petty cash, and other ad-hoc tasks. Qualifications: Proven experience as a Studio Coordinator, Office Manager, Administrative Assistant, or similar role, preferably within the fashion industry. Strong understanding of the fashion design and production process. Excellent organizational and time-management skills with a strong attention to detail, especially regarding fabrics, colors, and design details. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace. Familiarity with Adobe Creative Suite (Photoshop, Illustrator, InDesign) is a plus. Strong communication and interpersonal skills, both written and verbal, with the ability to interact professionally with diverse individuals. Ability to multitask and prioritize effectively in a fast-paced, deadline-driven environment. Proactive and resourceful with a problem-solving attitude.
