Your Next Opportunity As we continue to grow, we are looking for an experienced Operations Coordinator to join our team in Athens, Greece. This role will manage a variety of administrative and logistical tasks essential for the smooth operation of our Service & Maintenance Department. Key Responsibilities Invoicing Management Oversight, tracking, reporting and management of the S&M invoicing procedures to ensure timely and accurate billing Travel and Accommodation Management Coordinate employee travel itineraries in collaboration with travel agencies, ensuring timely and cost-effective solutions across flights, car rentals and ferry arrangements Arrange employee accommodations via platforms (e.g. Airbnb and Booking.com), ensuring compliance with company standards and budgets Manage transportation logistics, such as airport to HQ transfers, to ensure smooth travel coordination for the on-site personnel Accreditation and Training Operations Arrange all operational and logistical tasks to acquire all necessary accreditations for the S&M personnel, including both on-site and online training sessions Supervise the accreditation process for all personnel, ensuring timely completion and proper documentation Oversee and manage training schedules, including tracking certification dates and expiration to ensure compliance and renewals Internal Workforce Management System (WMS) Accurately assign personnel to projects and monitor their allocation in communication with Project Managers to track progress and timelines Apply for A1 insurance certificates for employees working abroad and coordinate with external providers to ensure coverage, compliance and renewal Address and resolve any insurance-related queries from employees General tasks Manage office supply inventory and place orders as needed Collaborate closely with project managers to ensure smooth and efficient operations What We’re Looking For Degree or certification in Business Administration, Office Management, or a related field Proven experience in office operations or a similar role Proficiency in English; German is desirable Strong organizational and multitasking skills to handle various administrative tasks efficiently Familiarity with workforce management systems Experience with travel and accommodation booking platforms Willingness to work in a dynamic office environment and adapt to changing priorities Hold the necessary work permits and are eligible to work within the EU Company Perks Await Rewarding pay structure Training and development opportunities to advance your skills Work on exciting renewable energy projects that contribute to a sustainable future A supportive and collaborative team environment Opportunities for career growth within our expanding company Show more Show less
