Location : Glyfada, Athens, Greece Employment Type : Full-time, from Monday to Friday, from 10:00 to 18:00 About Us: Hellenic Grounds is a boutique real estate agency specializing in residential and commercial property sales and rentals in Glyfada and surrounding areas. Our sister company, Hellenic Stays, focuses on short-term property management for platforms like Airbnb. Together, we are dedicated to delivering exceptional service and tailored experiences for clients and property owners. We are looking for a highly organized, proactive, and detail-oriented individual to join our team. This role bridges the responsibilities of real estate coordination and property management, ensuring smooth operations across both companies. Key ResponsibilitiesProperty Management Tasks Input expense invoices into the property management CRM and maintain accurate records. Upload and systematically organize invoices in Google Drive. Manage payments of utility and other property-related bills as needed. Oversee cleaning schedules for properties under management, ensuring timely and efficient execution. Conduct post-checkout property inspections to verify inventory and cleaning quality. Create and manage inventories for consumables in each property. Assist in preparing linens for cleaning crews and ensuring readiness for turnovers. Compile and assist with monthly reports for managed properties. Real Estate Agency Tasks Reach out to development companies and property owners to collect property materials or schedule appointments for realtors. Catalog new property leads and inquiries in the company database. Assist in onboarding new properties for sale or rent by updating the company database. Occasionally accompany clients to property viewings. Distribute branded company materials in designated areas as needed. General Administrative Tasks Maintain and update the company’s expense database. Respond to phone calls and email inquiries promptly and professionally. Communicate and negotiate with suppliers and partners to ensure smooth operations. Organize and maintain files and schedules in collaboration with the team. Ideal Candidate Profile & Requirements Strong organizational and multitasking skills with keen attention to detail. Excellent communication skills in Greek and English (both written and spoken). Previous experience in real estate, property management, or administrative coordination is a plus. Proficient in using Microsoft Office, and Google Workspace (Google Sheets, docs presentations). Prior experience in CRM management is a plus, but not necessary. Problem-solver with a proactive approach to challenges.
