Job Description
Do you enjoy being the one who has the overview and controls the details? Can you act as a project manager on cross-cutting initiatives, write presentations on behalf of the director as well as manage the director's calendar and meeting schedule? And are you good at building relationships and get energy from a broad collaborative environment? Then you might be the right profile for the role of PA in a central function at the Danish Film Institute. About the job The Danish Film Institute's task is to promote film art, film culture and cinema culture in Denmark. We are entering an exciting time with a new strategy and implementation of a new ambitious film agreement. To support the managing director's daily work, we are looking for a PA to be part of the management secretariat. The secretariat is, among other things, to serve the managing director, management group, executive board and board, and is thus a central function in relation to the successful performance of the Film Institute's tasks. The working day is sometimes hectic, often unpredictable and always exciting. As a PA in the Danish Film Institute's Management Secretariat, you must help solve a number of tasks of a diverse nature. The main task is to support managing director Tine Fischer's daily tasks; including ensuring calendar management, meeting management and good communication with the rest of the organisation. In addition, you will become the rope holder and writer on fund applications and will be responsible for continuously solving and project managing cases with external stakeholders. Your primary task is to secure the framework to bring the loose ends of the working day together and create the best possible conditions for the task to be solved. This means that you can: Be a link to the managing director – internally and externally. Coordinate, manage calendars and prepare appointments and meetings. Participating in the Film Institute's and the Management Secretariat's ongoing task-solving. Project manager of ongoing, strategic efforts and activities. Assist the managing director in contact with external partners, including especially foundations. About you We imagine that you have an academic background and have experience with management services and secretarial tasks. It is an advantage if you also have experience with fund applications, but not a requirement. You will be responsible for securing the framework, including preparation and project management of a number of the director's portfolios, and it is therefore crucial that you are strong in project management, including research, analysis and written presentation. There is good opportunity to expand your task portfolio and professional challenges over time and as you gain experience at the Film Institute. You are structured, independent and take the initiative to solve your tasks. You are service-minded and good at building relationships, as you have a large contact surface with the entire organization as well as a large number of external business partners. When everyday life becomes extra busy, it is important that you can maintain an overview and be flexible to the extent necessary. The management secretariat's everyday life sometimes goes differently than expected, so it is therefore important that motivation is maintained when plans change. It is not a prerequisite to have a film background or insight, but it is crucially important to have an interest in and understanding of culture's central role in society and the Danish Film Institute's responsibility in this context. It will be an added plus if you have experience from the film industry. We offer: A workplace with an exciting everyday life in a living house in the center of Copenhagen. Independent responsibility, versatile tasks and good development opportunities. Flexible working hours and possibility of home working days. Opportunity to cultivate your possible film interest with film-loving colleagues. You will be part of the Film Institute's Management Secretariat, which consists of a secretariat manager and an AC specialist consultant. The contact surface with colleagues is large, and there are many social events on an ongoing basis. You will be referred to head of secretariat Palle Dam Leegaard, and will work closely with the Executive Secretariat and the managing director in the day-to-day work. Terms of employment and application This is a permanent, full-time position. You will be employed as a representative according to collective agreement for academics in the state or possibly other relevant organisation. Accession is per 1 June 2025. Applications with CV, educational certificate and any other attachments must be submitted via our electronic application system no later than 13 April 2025. We will hold interviews in week 17. If you have any questions about the position, you can contact head of secretariat Palle Dam
