Job Description
This role provides administrative and operational support to the Sanofi Medical Department and acts as a project management office (PMO) for cross-departmental medical projects. The role includes the following key responsibilities: Team Coordination: Scheduling and coordinating team meetings, preparing agendas, meeting minutes and tracking actions organizing and supporting logistics for team meetings, including catering, seat reservations and budget reconciliation. Facilitating contracts and logistical arrangements, including securing internal approvals, for meetings with external healthcare professionals and consultants. Managing the entire medical contribution process, including due diligence checks, contract preparation and invoice processing. Supporting PV (Pharmacovigilance) and Quality Assurance teams by collecting and submitting relevant reconciliation reports and updates on medical information requests. Operational support: Purchasing management, creating new suppliers and submitting invoices, equipment orders IT,.Managing import requests for medical kits and presenting regulatory documentation.Ensuring conference registrations and logistical arrangements for medical team activities and events.Project Management:Assisting in the planning, coordination and execution of cross-functional medical projects.Tracking project status, consolidating reports and ensuring timely follow-up. Compliance and audit preparation: Consolidation and organization of documentation required for internal and external audits. Maintain an up-to-date set of regulatory and compliance documents. Support audit preparation and coordinate responses to findings. Data reporting and analysis: Preparation and consolidation reports on medical operations KPIs and project updates. Support data analysis for operational decision making. Management of the Qualipso system: Management of local use of the Qualipso system, including recording and monitoring of risks, deviations and change controls. Ensuring compliance with regulatory deadlines and providing updates to teams regions. Training team members on best practices for using the Qualipso system. Knowledge management: Creating and maintaining a centralized share point for medical resources, SOPs and best practices. Supporting knowledge sharing initiatives between teams and regions. Budget and financial tracking: Monitoring and reporting budget utilization for medical projects and activities. Ensuring timely submission and reconciliation of financial documents. Team Building and events: Organizing team building activities and supporting logistics for medical team meetings. Coordinating planning and logistics for medical department strategic initiatives and expert events external. Onboarding support: Assisting with onboarding processes for new medical team members, including training programs and IT setup. Providing guidance on tools, processes and compliance requirements
